Mossy Pioneer Godo Kaisha ("the Company") is committed to handling personal data carefully and in accordance with applicable data protection law in Japan. This page explains what is collected, how it is used, and what rights you hold.

Data collection

1. Personal data is collected when you submit the contact form, correspond by email, or engage the Company for a matter.
2. Data collected typically includes name, email address, and the content of your message.
3. The legal basis for processing is your consent, given at the point of submission, or the performance of a contract where a matter is undertaken.
4. Data is retained only as long as necessary for the purpose collected, or as required by applicable retention obligations.

Your Rights and Opt-Out Instructions

Reading this site does not require you to identify yourself, and optional cookies remain off unless you allow them. If you have sent the Company an inquiry or a document and wish it to be deleted, write to info@mossypioneer.com or telephone +81 92-781-0360. Where a matter was engaged, we will explain which records must be retained and for how long before deleting the rest.

Documents sent for review

A Contract Review Note or Company Formation Guidance requires the Company to read documents that often contain personal information about people other than you: the counterparty's representative, guarantors, shareholders, or the employees named in a draft employment term. Such documents are handled under the same duty of confidentiality as your own information. They are read only by the adviser handling the matter and are not used as examples or templates for other clients.

Please send documents by the method we propose when a matter is accepted rather than through the website inquiry form, which is intended only for a brief description of the question.

Conflict checks

Before accepting a matter, the Company checks the names of the parties against its records of past matters to make sure it is not acting against someone it has advised before. For this purpose we keep a short index of party names for every matter, including matters that were declined, for ten years.

Retention

Inquiries that do not become matters are deleted twelve months after the last exchange, apart from the conflict-check index described above. Files for engaged matters, including the written note or draft articles of incorporation we delivered, are kept for five years after the matter closes, so that questions about the advice can be answered. Invoices are kept for seven years as required by tax law.

Disclosure to third parties

The Company does not disclose personal information to third parties except where you have instructed us to — for example, sending a proposed amendment to the counterparty — or where disclosure is required by law. We do not use outside marketing services, and nothing you send us is sold.

Exercising your rights

Under the Act on the Protection of Personal Information you may request disclosure, correction, suspension of use or deletion of personal information held by Mossy Pioneer Godo Kaisha. Requests may be sent to info@mossypioneer.com or by post to 3-5-17 Nanotsu, Chuo-ku, Fukuoka 810-0071. We verify the requester's identity before responding and respond within two weeks.

Security of correspondence

Documents are exchanged by email with password-protected attachments or through a shared folder created for the matter, with the password sent separately. Paper documents brought to a consultation are returned at the end of it unless you ask the Company to keep a copy.
